ANNUAL GENERAL MEETING

 

GUIDE TO BRANCHES

 Why have an Annual General Meeting?In order to fulfill our legal requirements, and the Rules of the PWP NSW’s constitution we are required to hold an AGM every year.At this meeting we;
  • Review the past year’s activities
  • Consider the financial statements
  • Consider any changes to the rules & byelaws
  • Set objectives for the coming year
  • Elect members to vacant positions on State Management committee.
 

Branch planning for the AGM

Each branch needs to discuss………·         What PWP has achieved during the year.·         What needs to be achieved next year?·         Any Rule or policy changes which need to be made.·         Consider any motions with notice.·         Consider any nominations for SMC vacancies.·         Appoint delegates to represent them at SMC elections at the AGM. All members of PWP are invited to attend, and those who are eligible to vote can have their say in voting on any proposed changes to the Rules. Only branch delegates can vote at the State elections, so that each branch is fairly represented at State level. Each chartered branch is required to appoint two delegates to be elected at a branch meeting, since they are to represent members of that branch. 

Branch delegates

Delegates must be financial, full ordinary members of the branch, and must be available to attend the AGM.The branch will be given a number of votes (voting power) based on: one vote, plus one vote for every 50 financial ordinary members, or part therof, registered with the State Management Committee, 3 weeks prior to the date of the meeting, to a maximum of 6. Delegates holding between them two thirds of the total votes must be present at all times elections for a quorum at elections.  Delegates Authorization forms and nomination forms for vacant positions on SMC, can be obtained from the branch secretary or from State Office. Branches may put motions with notice forward, which involve changes to the Rules, to State Office 2 months prior to the AGM for discussion at branch level.Other motions may be put later (which comply with the rules and byelaws), without notice.SMC positions are for two-year terms, and, so as to maintain an experienced committee, half of the committee positions are vacated and re-elected each year, where possible. Any vacancies on SMC are also filled at the AGM. 

NOMINATIONS FOR ELECTION TO SMC

 The type of person who should be elected to SMC should be:·         Team players, who are willing to volunteer their time to help PWP achieve its goals.·         For executive positions, must have at least 12 months experience on committee, at branch level.·         Otherwise, some experience at branch level.·         People who can be relied on to follow through projects to their successful conclusion.Nominations may be made in writing in advance; early nominations are preferred so that they can be circulated to branches for consideration. Otherwise nominations can be made from the floor by delegates at the time of the elections. Nominees must be prepared to abide by the Code of Conduct for Committees (available from branch secretary).Branch secretaries will receive notice of the branch voting power, and copies of the minutes of the last ADM, which will be distributed to delegates. All members should bring their membership card with them, and all delegates should bring their authorization form, (if not already sent in) and a copy of the agenda and last ADM minutes.
